Message templates Pro

This feature is part of the Pro plan.

With a message template you write a message once and send it any time. Good examples are a welcome after the first session, a heads-up that a pass is running low or used up, and a reminder about unpaid sessions. When you send, the template fills itself in with the student's own details. Message templates are available on the Pro plan, and Premium includes them too.

You find your templates under Settings, Message templates. The Add ready-made templates button adds four pre-written templates in the app's language, and you can reword them in your own style. The New template button lets you write your own.

  1. Open Settings.
  2. Tap the Message templates row.
  3. Tap New template.
  4. Give the template a name.
  5. Write the message text.
  6. Wherever you want the student's details to appear, tap Insert field above the text and pick a field.
  7. Save the template.

When you send, the coloured fields are replaced with the student's own details. On a computer, typing { opens the same menu. One backspace removes a whole field.

Warning: A mistyped field stays uncoloured. That means it will not be filled in, and it goes out exactly as typed. If a field is not coloured, delete it and add it again with Insert field.

The fields you can pick: First name, Last name, Nickname, Contact person's first name, Contact person's last name, Sessions left, Owed sessions, Owed amount, Pass expiry, First session date and Trainer's name. If the student has no nickname, Nickname uses their first name.

On a wide screen the preview sits beside the text and updates as you type, using a sample student. On a phone, tap Preview.

The subject only appears in email. If you leave it empty, the template name becomes the subject. The SMS version is optional: it is a shorter text used for SMS. If you leave it empty, SMS uses the full message.

This is how you send a message:

  1. Open the student's profile.
  2. In the Contact section, tap Send a message.
  3. Pick the template.
  4. Check the preview: it is now filled in with that student's real details.
  5. If the student has contact persons, choose the recipient under Who is it for?
  6. Choose how you are sending it: Email, SMS, WhatsApp, Share or Copy.
  7. In your own app that opens, press send.
Tip: In a desktop browser, SMS and Share aren't offered, only Email, WhatsApp and Copy. All five options are there on Android and iOS.
Warning: Attendlr never sends a message by itself, and nothing is automatic. Your own mail, SMS or WhatsApp app opens with the text filled in, and you press send there. You can still edit the text in your own app before sending.

If a field has no data, a red notice lists the empty fields. This happens when the student has no contact person, no pass with an expiry date, or when the owed amount cannot be calculated because the pass has no unit price. The field's place stays empty in the text, so fill it in or remove it before sending. A student who owes nothing gets 0, which is not an error.

When you send by WhatsApp, a number saved as "06 30 …" is converted to international format using the country in your profile. If the app cannot do that safely, WhatsApp opens with the text and you pick the contact yourself.

Tip: Save phone numbers with the country code, for example +36, so WhatsApp always opens the right person.

Fields appear in the app's language, for example {keresztnév}, {first name} or {Vorname}. If you switch the app language, the fields in the templates you already wrote keep working.

Your templates are stored in your account. Attendlr does not keep a log of the messages you send.
