Managing students
Students are the foundation of Attendlr: attendance, payments and passes all connect to them. All you need to add a student is their name. You can fill in everything else later.
- Open the Students list.
- Tap the add-student button.
- Enter their name and any other details you'd like.
- Save.
Archive or delete? Archiving sets a student aside without losing any data. You can bring them back any time, and their past attendance and payments stay intact. Deleting is permanent. For keeping your day-to-day list tidy, archiving is almost always the right choice.
The app automatically archives students who've had no activity for a long time. That's why someone might disappear from the list: they're not lost, just archived. Turn on showing archived students to find them and restore them to active.
A student's gender sets their avatar color (blue or rose); if it's not set, the avatar stays gray. You can set the gender on the student's profile.
You pick the nationality from a list of countries, each with a small flag. Search by the country's name or its two-letter code (e.g. "Germany" or "DE"). If most of your students come from the same country, Settings → Students and leads lets you choose what the new student and lead forms start with: empty, your country (the one set in your Profile), or a country you pick. Existing students and CSV imports are not affected.
Tags let you group students (e.g. "kids' group", "exam candidate"), and the list can be filtered by them. Tags are available from the Basic plan up.
Client stats: the Stats tab on a student's profile shows how often they came and how much they paid in a chosen month, year or their whole time with you, on charts too. Next to that: their average visits per week and per month (over the part of the period that has passed, counted from their first visit), when they last came, and how many sessions they have left or owe. You also see how many sessions they cancelled themselves (the ones you cancelled don't count), how many weeks in a row they've come at least once, and, if they attend more than one class type, how their visits split between them. Next to visits and payments, an arrow shows the change against the previous month or year (for the month or year still running, against the same stretch of the previous one). The last visit, the streak and the balance sit at the top under Right now and always show today, whatever period is chosen. Sessions left and owed add up all of their passes; tap either to see the split by class type on the Passes tab. The tab opens on the stats dashboard's default period. Client stats come with Pro.
You can also record contact persons for a student (like a parent or an emergency contact) with one-tap call and email buttons. On the profile the card just shows how many there are (2 contact persons, say); tap it to open the list. One contact can belong to several students and leads, for example the parent of two siblings: under Add contact person, choose Link an existing contact. Contact persons are available from the Basic plan up.
You can also add social profiles to a student: Facebook, Instagram, TikTok, LinkedIn, YouTube, Strava, X, or any other link. In the Contact section of the form, tap Add social profile, pick the network, and type the username (for example @anna) or paste the profile link. On the student's profile, the networks sit in the Social profiles row: tap one to open the profile in the app or the browser. Press and hold to see the username. If an entry has a space in it (a full name, say), it gets a row of its own as plain text, because there's no telling which profile it is. An Other profile entry also gets its own row. Social profiles are available on every plan.
On the form, the less-used fields (nickname, occupation, notes and tags) sit under More details: tap its heading to open it. Below it is the Automatic email section (on the Premium plan), folded too. Each starts open if it already holds something, or if an email setting differs from the default (for example the student unsubscribed), so nothing stays hidden.
